Auditing your Invoice Process for Efficiency

Inefficient processes are costing organisations 20 to 30 per cent losses in their revenue every year (IDC). With Finance and Accounts departments being significant cost centres, it is often here where businesses first look to reduce costs and regularly where they look to implement automation technologies first. Yet it can be difficult for Accounts Teams to identify where the bottlenecks to efficiency lay due to the time pressure of payment cycles and high level of responsibility the function carries. The below is a set of questions and steps Accounts Payable teams can follow in order to easily identify areas which could benefit from transformation and identify use cases for Business Process Automation.

1. How are invoices received?

Paper, post, email, attachments, EDI and other electronic data streams?

Despite being in a digital age, 57% of invoices submitted to organisations are still received via the post (CIMA). Paper is a huge efficiency block for organisations as it requires multiple tasks to be carried out in order to process it; from sorting the post, delivering it and scanning the document to digitalise it. All these tasks need to be completed before you can start making sense of the information in an invoice and add precious time to payment cycles. The situation is exacerbated within larger organisations who receive 10,000’s of invoices and even more pieces of post, which often require a dedicated mailroom to sort.

Digital documents received via email and EDI are an increasingly more common way for organisations to receive invoices, however, they can also contribute to delays and reduced efficiencies. An email might include multiple attachments or arrive into a whole host of different mailboxes, requiring an AP Clerk to access, open and make sense of each attachment before starting to process the documents.

Combine the two receipt channels and organisations end up with complex, labour-intensive and lengthy invoice receipt processes.

In an ideal world, paper would be removed from the process entirely, however, this is highly unlikely given the number of suppliers and sub-contractors who still rely on it. When you consider the volume of invoices received, these tasks become repetitive, manually intensive and at risk of errors, not only reducing efficiency but also the morale of AP Clerks. In addition, there is a potential delay added to the payment cycle through supervisor checks or supplier amendments. This could further push an organisation outside of agreed terms, leading to missed early payment discounts and in some cases late payment fees which, in turn, can negatively impact supplier relationships.

3. What do you do once your invoice has been paid?
